Description of the department :

Middle Office is a department, which is cooperating closely in the Operations’ department. The team is located in Cologne, but part of an international Operations department in nine countries.
The team’s responsibilities are amongst others the delivery of accurate data to internal recipients. For this purpose the team controls and monitors external service providers of the properties and real estate companies, especially with regards to accounting, tax and legal requirements. The team is responsible for all kind of controlling tasks (reporting and budget plans) towards its AXA and external clients. The department supports Fund and Asset Managers and ensures that reports meet legal requirements and industry standards.

•Key responsabilitites

Middle Office Controlling tasks:

-Production of the reporting of real estate special funds and other portfolios for Fund Management, Management Board, Supervisory Board which includes financial and operational (Real Estate indicators) aspects
-Client reporting, regulatory reporting, reporting requested by authorities
-Measurement/analysis of the funds’ and asset performance
-Support of the asset budget and fund planning process and preparing of the planning schedules including commenting of portfolio results
-Support and contribution of regulatory (annual) reports
-Budget-actual comparison with available tools (SAP, Argus)
-Support in acquisition and disposal processes of real estates or real estate companies
-Ad hoc reporting
-Participation in transversal projects

Middle Office SPV administration:

-Global review of corporate secretary issues
-Monitoring of tax calendar review, of cash balance reporting and SPV cash reporting
-Preparation of board and shareholder resolutions, internal and external payment instructions and similar documents
-Organisation of notary appointments with directors and other involved people
-Review and first approval of invoices
-Opening of bank accounts and managing authorisations and electronic banking
-Manual and electronic payments
-Organisation of signatures on monthly reports, annual accounts, resolutions and other documents
-Correspondence with service providers, banks and other recipients and organisation of courier services (distribution of documents, organisation of changes of wrong invoices…)
-Distribution of SPV related information and documentation to internal and external recipients
-Administration of the company files


•Profile

-(Master-) Degree in Business Administration (Controlling or Finance) or comparable education
-Experience in Real Estate, Controlling or Banking is a plus
-Training or additional qualification in the real-estate and property business
-Confident use of the programs Excel and other Office applications, SAP would be a plus
-Fluent in spoken and written German and English
-Team player and reliable
-Accurate working style and keen perception also under pressure
-Autonomous and pro-active worker with good communication skills
